History of Lens and Lights

During the winter of 1961-62, seven WPI students got together and formed an organization they called Lens and Lights. The first president, Jim Day, named the club after his Wethersfield CT A/V club. The purpose of the club was to aid groups using Alden Memorial Auditorium to more fully and effectively use the technical facilities of the auditorium.

In the beginning, the club also provided audio and lighting services. The safety of our crews, the groups that we served, and the audiences were always a top priority, a tradition that continues to this day. Working with the Buildings and Grounds department, college administration, and interested professors, the club was granted access to the Alden Projection Booth and worked to repair the old 35mm Simplex Projectors in it. These projectors were left over from showing Navy recruitment films during WWII. Since 35mm was cheaper than 16mm back then, club members taught themselves - and each other how to run the projectors and began showing movies on them.

We also inspected and repaired copies of the now infamous WPI recruitment film Bridge to the Future between its uses in the field. Eventually, the dated 20 minute reels of 16mm film were made up of more splice than film, and were retired.

By 1964, the club had accumulated 25 or so members. They appropriated a space in the - basement of Sanford Riley Hall, a building which continues to serve as a student residence - today. Later, we moved our equipment to another storage area on the other side of the same - hall, which served as our primary office for many years until it was transformed into a - digital music lab in 2009.

Lens and Lights Rental Policy

While renting equipment from Lens and Lights (LNL), the following policy is in place to insure the safety, proper care and usage of the equipment. - LNL will permit you to use the rented equipment only for the period specified in the rental agreement and assumes that the equipment will be used accordingly and within its specified limits. - LNL is not responsible for damage due to misuse or neglect during this period. It is expected that the rental will be returned in the same condition as it was signed out to avoid damage - and inventory fees. LNL will not involve itself with safety and/or security issues during the period of rental. If a situation is to arise where a consultation from LNL is required, LNL can - be contacted via email: lnl@wpi.edu or phone: 508.831.5595 and will respond within twenty-four (24) hours of contact.

- Starting in July 2025, LNL will be increasing prices in order to adjust for rising inflation, increasing equipment upkeep costs, and to facilitate the replacement of outdated equipment. This will be our first price increase in over 14 years. -

Why change prices now?

- When LNL last adjusted the pricing structure of our services in 2019, the cost of LNL services decreased on average. Prices were last increased in 2011, and since then, our services and equipment have dramatically changed. With our existing prices, LNL can no longer continue to afford the repair or replacement of our increasingly aging equipment. Because of this, LNL has decided to increase prices starting in July 2025. -

- Over the last decade, our focus has been on repairing and extending the life of our equipment, often far past the expected end-of-life. However, we are now faced with an aging inventory, and several pieces of expensive equipment will need replacement in 2-4 years. Our existing pricing structure is long outdated, and we will be unable to cover these expenses when equipment requires replacement. Our new pricing keeps our services as affordable and accessible as possible while taking these anticipated costs into account. -

- To be frank, we don’t take this matter lightly and we understand that the price adjustment will be significant, especially for organizers of large events. We have been working on these changes for over 2 years, pushing back the announcement many times to allow for refinement and the integration of feedback from SAO and SGA. -

- We are here to support all event organizers on campus with the transition to our new pricing and we don’t want the increased cost to become a barrier. For the upcoming academic year (2025-26), we’re open to offering significant discounts to alleviate budgeting challenges. For events funded by student organizations, we’ve discussed the price increase with SGA, and they are expecting an increased cost for LNL services in Funding Requests and budgets. -

Why does LNL charge for event services?

- LNL charges for our services so that we are able to repair, maintain, and replace the equipment we use to provide services to campus events. LNL is entirely a volunteer organization. We do not charge for labor or our members' time. -

- Financially, LNL operates differently than most student organizations at WPI. We do not receive an annual budget from SGA or WPI for maintaining our event equipment. -

How are LNL prices and services changing?

- Our overall goal with price changes was to make small increases for small events and more significant increases for large events with advanced technical needs. -

- The size and scope of large events at WPI has greatly increased over the last 4 years. As our event services increased in scope, our prices remained constant. This led to a discrepancy between the event price and the cost of maintaining new, advanced equipment. -

- With existing prices, the cost of our services for large events was consistently less than 10% of any external provider. -

- Because of this, large and technically complex events will see the largest change in our prices; however, we will still charge significantly less than an external provider would. See price comparison for details. -

In addition, some production services have been adjusted to account for different equipment and new services.

    • Audio inputs are microphones or other audio sources (DJ, laptop, etc).

    • The number of inputs in each category (Small, Medium, Large) was increased to fit our updated equipment and the needs on campus.

    • Many events that previously needed large inputs now will be quoted with medium inputs, reducing cost for small events.

  • Speaker Categorization

    • We added another category of speakers to make three options: Small, Medium and Large. This will help to keep the prices low for smaller events while allowing us to offer more options for larger events.

  • Wireless Microphones

    • Wireless microphones have an additional charge because they cost more to maintain than wired microphones (e.g. batteries and frequent damage).

    • We have switched away from individual wireless mic pricing to a “package system” based on the equipment that is used: Small Wireless Mics Package includes 4 mics, Medium Wireless Mics Package includes 8 mics, and Large Wireless Mics Package includes 40 mics.

    • There will still be an option to add individual wireless mics as an add on to a wireless mic package.

  • Stage Monitors

    • Stage Monitors are speakers pointed at the stage or performance area. They are needed so the performers can hear themselves while performing.

    • We now offer two levels of stage monitors: Small Stage Monitors for a single audio mix (appropriate for dancers, soloists and small live music performances) and Large Stage Monitors for multiple audio mixes (appropriate for most live music performances).

  • The category of rigging is based on the truss sections and motors needed to support the lighting, sound, and video services.

  • The rigging category names have been updated to Small Truss Rigging and Large Truss Rigging to match the rest of the price list.

  • We increased the truss sections in Small Rigging from one section to two sections since two sections is very common. This allows more events to be categorized as Small Rigging

  • We also separated Rigging Towers, 16-foot towers that can support truss or fixtures, into their own category.

  • We have vastly improved our video and projection capabilities in recent years. We have created several categories of services to better support these requests and quote video services consistently.

To avoid another significant price change in the future, our prices will start adjusting annually proportionally to the CPI (Consumer Price Index) to compensate for inflation. For events funded by student organizations, SGA has indicated that inflation adjustments can be included in annual club budgeting, including inflation-based price adjustments of LNL services. Why are LNL prices increasing?

- LNL’s prices have not increased since 2011. We reorganized and recategorized our services in 2019, but the average cost of an event decreased. While our prices remained constant, the landscape of event production equipment has changed significantly. As equipment has digitized, it has become an order of magnitude more expensive to buy and repair. -

- Our buying power has decreased to a point where, broadly speaking, we’re able to maintain and repair what we have, but we can’t afford to replace equipment when it reaches the end of its life. Our new prices are based on estimates of what equipment we expect will need replacing in the next 2-4 years. -

- LNL services have greatly expanded since our prices last changed as we have worked to adapt our capabilities to meet the needs of WPI events. -

Lighting:
Before 2024, we had a limited number of lights that could change color and even fewer that could move. Now, LNL has the capacity to support events with a variety of lighting needs concurrently or with minimal setup time, as is often the case in Alden Hall and the Campus Center Odeum.

Sound:
We have greatly improved our ability to support student and professional bands at an increasing number of events, from Pep Rally to cultural celebrations. We can also support some concurrent events with live musical performances and create professional-quality recordings.

Video:
LNL started offering advanced video services recently and is still building capacity for media display and projection due to the increased demand.

Rigging:
LNL has proactively implemented industry-standard best practices for rigging safety. We have collaborated with the WPI Facilities and Environmental Health and Safety departments to improve the rigging hardware in multiple event spaces.

Why does LNL ask SGA for additional funding (i.e. submit SGA Funding Requests)?

- LNL spends funds to maintain and repair equipment used for current services, replace equipment as it reaches end-of-life, and make incremental equipment upgrades to meet new needs of campus events. Our prices were designed to maintain the equipment needed for our current services. To keep our prices low, LNL does not charge enough to completely fund large equipment upgrades that significantly change our capabilities. -

- When campus events make requests beyond LNL capabilities, we often coordinate external equipment rentals. When we notice that many events are requesting the same rental equipment, we then look into purchasing similar items to avoid recurring rental costs. SGA has previously been open to LNL requesting SGA funds (FRs) to expand our capabilities. Historically, LNL has contributed by partially funding the request and asked SGA to assist with the remainder. We do not have plans to ask SGA to fund any new capabilities in our sound or lighting services in the near future. -

- In 2024, LNL requested SGA funding for 18 ETC Lonestar moving lights. Similar lights had been rented from external providers for over a year to support a variety of events with limited set-up time. The goal of this request was to reduce reoccurring costs by purchasing the equipment outright. -

- In 2024, LNL requested SGA funding for a new (and more durable) inflatable screen to support outdoor movies. The previous screen was not durable, had holes in it from regular usage, and did not have the option to replace worn parts. LNL did not charge student groups to use the screen, and thus requested SGA fund the replacement. -

How does LNL compare with other event production service providers?

We also have extensive experience with the facilities, resources, and offices involved in supporting events on campus. We’re happy to connect you with resources to make your event a success. SGA supports LNL Film & Digital Projection

- Since 1989, LNL has provided film projection services in Fuller Perrault Hall (and before then, we provided projection services in Alden Hall and Salisbury 115). Nowadays, we provide digital, 16mm, 35mm, and 70mm film projection services for weekend movies, special events, and film screenings. -

- Financially speaking, projection services in the Fuller Upper Booth operate separately from the rest of the club. LNL has received funding directly from the student life fee to maintain our projectors and supporting equipment. Projection funding is separated into a different WPI Workday fund (worktag) and is not used to support LNL event services. -

Resources for SGA-funded Student Organizations

- If your event is funded by an SGA Funding Request (FR) or budget, we suggest submitting a funding request to SGA at least 3-4 weeks before your event. SGA is expecting LNL services to be more expensive than they have been in years past. -

- For organizations with SGA budget line items for LNL services, an FR will be needed for each event with an increased price. To make SGA Funding Requests (FRs) for budgeted events as easy as possible, we created a template form response, breakdown spreadsheet, and presentation with details prefilled based on SGA’s templates. -

- LNL approaches purchasing new equipment holistically. To reduce the need for early replacement, we keep a close eye on our inventory and repair as needed. We begin to line up replacement options as equipment approaches end-of-life, typically at least 2 years before it is needed. We often opt to purchase lightly used equipment from reputable nearby companies to reduce purchase costs. We also pay close attention to the ever-changing needs of campus events and attempt to purchase equipment that meets current and anticipated needs. -

- The world of event production equipment can move very fast and can be extremely expensive. LNL aims to purchase equipment that provides high quality experiences, is inexpensive to repair, and operates reliably for many years. We try to avoid “flashy” products or brand-new models since these often are difficult and expensive to maintain in the long-term. We often use equipment for 20+ years, so we consider each large purchase a significant investment in our ability to provide services long into the future. -

Why are our services so expensive?

- LNL's prices are significantly lower than alternatives. On average, LNL services are priced at less than 25% of external providers’ services. -

- In brief, event production equipment is expensive to purchase and maintain. At the same time, we work hard to keep our prices as low as possible. We’ve created excellent relationships with vendors who offer us low prices for replacement parts, repair services, and purchasing new equipment. Our members donate their time, collectively thousands of hours per semester, to support events, learn new skills, and repair our equipment. -

- Our prices were designed to provide funding to maintain the services we currently provide. To keep our prices low, LNL does not charge enough to completely fund large equipment upgrades that significantly change our capabilities. When we are looking to expand our capabilities, we request additional funding from SGA and/or university administration. Read more here. -

- Because of these supplier relationships and since we don’t need to pay for labor, equipment transportation, or a storage warehouse, we are able to price our services significantly lower than any other event production provider. -

Why doesn’t funding come from the Undergraduate Student Life Fee or SGA?

- LNL provides services for a variety of organizations. In a typical year, approximately three-quarters of our event bookings are for student organizations. The remaining quarter of events are hosted by university departments, offices, and initiatives, as well as occasionally off-campus groups connected with WPI. -

- If LNL were to be funded completely by the undergraduate student life fee, university offices, and academic departments would essentially be getting our services for free. Charging for our services allows us to equitably fund our operations from both university operating funds and student organization funds. -

Student Organization Event Discount:
Any events funded by a WPI-recognized student organization receive this discount. We greatly appreciate the support of SGA to fund some parts of LNL equipment purchases, so we provide a discount for all student organizations.

Combo Event Discount:
We enjoy providing both sound and lighting services at events, so we apply this discount to any events with BOTH sound and lighting services.

What fees does LNL charge and why?

Outdoor Event Fee:
-
- Events hosted in outdoor locations receive this fee. We charge this fee because outdoor events often expose our equipment to heat, weather, dirt, and rain. This puts more wear and tear on our equipment and the fee covers the additional maintenance costs. -

Off-Campus Event Fee:
-
- Events hosted outside of 100 Institute Road receive this fee. We charge this fee because to support these events, our equipment needs to be transported, often via truck. This puts our equipment at increased risk of damage and the fee covers the additional maintenance costs. -

Rental Fee:
-
- Whenever LNL rents equipment from an external vendor to support an event, LNL charges a small fee to cover the costs of maintaining the supporting equipment and cabling used with rental equipment. For example, we have previously rented lighting and video equipment which needs lots of additional power distribution, and LNL has invested in additional power distribution equipment to be used with rental equipment. -

Late-booked Event Fee:

- We ask that organizations book an event more than 2 weeks in advance to avoid late fees. To be transparent, it can be difficult for LNL to plan for events and coordinate crew with short notice, and we charge a late fee to encourage organizations to reach out early and avoid additional stress on our crew and equipment. -

- Occasionally, LNL may charge additional fees for unusual events or requests. Please email LNL at lnl@wpi.edu with any questions. -

What about Film and Digital Projection in Fuller Upper?

Since the early 1970s, we’ve been providing lighting services to our clients - all around the WPI community. Whether you need a simple spotlight on a podium, a full-scale show with complicated - effects, or anything in between, we’ve got you covered. With a wide variety of professional lighting fixtures and equipment, - and our experienced and dedicated team, you can rest assured that your event is in good hands.

Thanks to our long history operating at WPI we know the intricacies of every event space on campus and can use that knowledge - to make your event as bright as it can be. Our equipment inventory is large and varied with products from the best in the industry. - From basic lighting fixtures using conventional halogen lamps, to moving head fixtures from renowned brands like High End Systems - and VariLite, or consoles from Avolites and Electronic Theatre Controls, we have the equipment that can make your event truly shine. - For those larger events, we have the experience and capability to rent more fixtures to really “wow” your attendees.

In addition to specific lighting equipment, we also own a substantial amount of rigging hardware for hanging lights virtually - anywhere on campus. Box truss, chain hoists, and mobile lifts allow us to have versatility in creating the best lighting setup possible. - We can do nearly anything - basic spot lights, stage washes, area lighting, uplighting, and more - all tailored to what your event - needs. Projection

Lens and Lights started off in the winter of 1961-62 after a few WPI students took over two 35mm film - projectors that were left by the Navy ROTC program. Decades later, Lens and Lights still shows - movies every week in Upper Perreault Hall, bringing theater quality movie presentations in 16mm, - 35mm, 70mm, and 2K digital with 5.1 surround sound. LNL shows a wide variety of films ranging from classic - 80s Sci-Fi to movies fresh out of theaters - sometimes even before Blu-Ray release! Together with - student organizations (SocComm Films) and in partnership with individuals and professors (HUA Film - series, China Hub Series) we present what the community wants to see on the big screen. In summary, - LNL is a group of students who love the art of projection - both in classical (film) and modern - (2K digital) formats.

Currently, we are one of the few remaining theaters that can present in both 35mm and 70mm film and - we keep our projectionists fully trained on its proper handling and use. When we do occasionally - present classic movies on 35mm or modern 70mm, we can do something no other theater in Worcester can - do. By request, our film distributor, as well as our contacts at the Library of Congress and the - Criterion Collection, can provide us with access to thousands of movies on film.

Lens and Lights has been providing quality audio services to the WPI community for more than 40 years. From small speaking engagements to full-scale concerts, - we have the professional equipment, the technical expertise, and a passionate detail-oriented team to make your event stand out among the rest.

We’ve provided sound services to everyone from student bands to Grammy-award winning artists. Lens and Lights has been on the WPI campus since 1962, so you can rest - assured we know the ins and outs of every event space on campus – experience we leverage to produce the best show possible for you. With our inventory and experience - we can make any event sound great whether it’s in Harrington, on the Quad, or even in a classroom.

We boast a wide selection of professional sound equipment from industry-renowned brands. Speakers from EAW and Meyer, mixing consoles from Yamaha, DiGiCo and - Midas, and amps and processing from dbx and LabGruppen encompass just some of the hardware we own. For larger events, we can rent more speakers, consoles, and just - about anything required for you to sound your best.

With a significant equipment inventory and team, we can support multiple ongoing events, even during the most demanding times of year – Alumni Weekend, Homecoming, - New Student Orientation, and the like. New Pricing for LNL Services

In Brief:

+ Starting in July 2025, LNL will be increasing prices in order to adjust for rising inflation, increasing + equipment upkeep costs, and to facilitate the replacement of outdated equipment. This will be our first + price increase in over 14 years. +

Why change prices now?

+

+ When LNL last adjusted the pricing structure of our services in 2019, the cost of LNL services decreased on + average. Prices were last increased in 2011, and since then, our services and equipment have dramatically + changed. With our existing prices, LNL can no longer continue to afford the repair or replacement of our + increasingly aging equipment. Because of this, LNL has decided to increase prices starting in July 2025. +

+ Over the last decade, our focus has been on repairing and extending the life of our equipment, often far past + the expected end-of-life. However, we are now faced with an aging inventory, and several pieces of expensive + equipment will need replacement in 2-4 years. Our existing pricing structure is long outdated, and we will be + unable to cover these expenses when equipment requires replacement. Our new pricing keeps our services as + affordable and accessible as possible while taking these anticipated costs into account. +

+ To be frank, we don’t take this matter lightly and we understand that the price adjustment will be significant, + especially for organizers of large events. We have been working on these changes for over 2 years, pushing back + the announcement many times to allow for refinement and the integration of feedback from SAO and SGA. +

+

+ We are here to support all event organizers on campus with the transition to our new pricing and we don’t want + the increased cost to become a barrier. For the upcoming academic year (2025-26), we’re open to offering + significant discounts to alleviate budgeting challenges. For events funded by student organizations, we’ve + discussed the price increase with SGA, and they are expecting an increased cost for LNL services in Funding + Requests and budgets. +

Why does LNL charge for event services?

+

+ LNL charges for our services so that we are able to repair, maintain, and replace the equipment we use to + provide services to campus events. LNL is entirely a volunteer organization. We do not charge for labor or + our members' time. +

+

+ Financially, LNL operates differently than most student organizations at WPI. We do not receive an annual + budget from SGA or WPI for maintaining our event equipment. +

How are LNL prices and services changing?

+

+ Our overall goal with price changes was to make small increases for small events and more significant + increases for large events with advanced technical needs. +

+ The size and scope of large events at WPI has greatly increased over the last 4 years. As our event + services increased in scope, our prices remained constant. This led to a discrepancy between the event + price and the cost of maintaining new, advanced equipment. +

+

+ With existing prices, the cost of our services for large events was consistently less than 10% of any + external provider. +

+

+ Because of this, large and technically complex events will see the largest change in our prices; + however, we will still charge significantly less than an external provider would. See price comparison + for details. +

In addition, some production services have been adjusted to account for different equipment and new services. +

Discounts and fees:

  • All events that are funded by student organizations (via SGA or fundraising) will receive a 10% + student discount for our services.

  • We added more granular options for complexity and size of lighting. This will help to keep the + prices low for smaller events while allowing us to offer more options for larger events.

Sound:

  • Input Categorization

    • Audio inputs are microphones or other audio sources (DJ, laptop, etc).  
    • +
    • The number of inputs in each category (Small, Medium, Large) was increased to fit our updated + equipment and the needs on campus. 
    • +
    • Many events that previously needed large inputs now will be quoted with medium inputs, reducing + cost for small events. 
    • +
    +
  • Speaker Categorization

      +
    • We added another category of speakers to make three options: Small, Medium and Large. This will + help to keep the prices low for smaller events while allowing us to offer more options for + larger events.

  • Wireless Microphones
  • +
      +
    • Wireless microphones have an additional charge because they cost more to maintain than wired + microphones (e.g. batteries and frequent damage).

    • We have switched away from individual wireless mic pricing to a “package system” based on the + equipment that is used: Small Wireless Mics Package includes 4 mics, Medium + Wireless Mics Package includes 8 mics, and Large Wireless Mics Package + includes 40 mics.

    • There will still be an option to add individual wireless mics as an add on to a wireless mic + package.

  • Stage Monitors

    • Stage Monitors are speakers pointed at the stage or performance area. They are needed so the + performers can hear themselves while performing.

    • We now offer two levels of stage monitors: Small Stage Monitors for a single audio mix + (appropriate for dancers, soloists and small live music performances) and Large Stage + Monitors for multiple audio mixes (appropriate for most live music performances).  +

  • Audio Recording

    • We’ve offered Multitrack Recording for a while, and we also now offer Stereo + Recording at a lower cost.

Rigging:

  • The category of rigging is based on the truss sections and motors needed to support the lighting, + sound, and video services.

  • The rigging category names have been updated to Small Truss Rigging and Large Truss + Rigging to match the rest of the price list.

  • We increased the truss sections in Small Rigging from one section to two sections since two + sections is very common. This allows more events to be categorized as Small Rigging.  +

  • We also separated Rigging Towers, 16-foot towers that can support truss or fixtures, into + their own category. 
  • +

Video:

  • We have vastly improved our video and projection capabilities in recent years. We have created + several categories of services to better support these requests and quote video services + consistently.

  • We now own a variety of projection equipment to support these video services that we have not + previously charged for and need to be able to maintain.

To avoid another significant price change in the future, our prices will start adjusting annually + proportionally to the CPI (Consumer Price Index) to compensate for inflation. For events funded by student + organizations, SGA has indicated that inflation adjustments can be included in annual club budgeting, + including inflation-based price adjustments of LNL services. Please reach out to SGA at sgatreasurer@wpi.edu + with any questions regarding club budgets or Financial Requests (FRs).

Why are LNL prices increasing?

+ LNL’s prices have not increased since 2011. We reorganized and recategorized our services in 2019, but the + average cost of an event decreased. While our prices remained constant, the landscape of event production + equipment has changed significantly. As equipment has digitized, it has become an order of magnitude more + expensive to buy and repair. +

+

+ Our buying power has decreased to a point where, broadly speaking, we’re able to maintain and repair what we + have, but we can’t afford to replace equipment when it reaches the end of its life. Our new prices are based + on estimates of what equipment we expect will need replacing in the next 2-4 years. +

+

+ LNL services have greatly expanded since our prices last changed as we have worked to adapt our capabilities + to meet the needs of WPI events. +

Lighting:
+
Before 2024, we had a limited number of lights that could change color and even + fewer that could move. Now, LNL has the capacity to support events with a variety of lighting needs + concurrently or with minimal setup time, as is often the case in Alden Hall and the Campus Center + Odeum.

Sound:
+
We have greatly improved our ability to support student and professional bands at + an increasing number of events, from Pep Rally to cultural celebrations. We can also support some + concurrent events with live musical performances and create professional-quality recordings.

Video:
+
LNL started offering advanced video services recently and is still building + capacity for media display and projection due to the increased demand.
+ +
Rigging:
+
LNL has proactively implemented industry-standard best practices for rigging + safety. We have collaborated with the WPI Facilities and Environmental Health and Safety departments + to improve the rigging hardware in multiple event spaces.
+

Why does LNL ask SGA for additional funding (i.e. submit SGA Funding Requests)?

+

+ LNL spends funds to maintain and repair equipment used for current services, replace equipment as it reaches + end-of-life, and make incremental equipment upgrades to meet new needs of campus events. Our prices were + designed to maintain the equipment needed for our current services. To keep our prices low, LNL does not + charge enough to completely fund large equipment upgrades that significantly change our capabilities. +

+ When campus events make requests beyond LNL capabilities, we often coordinate external equipment rentals. + When we notice that many events are requesting the same rental equipment, we then look into purchasing + similar items to avoid recurring rental costs. SGA has previously been open to LNL requesting SGA funds + (FRs) to expand our capabilities. Historically, LNL has contributed by partially funding the request and + asked SGA to assist with the remainder. We do not have plans to ask SGA to fund any new capabilities in our + sound or lighting services in the near future. +

+ In 2024, LNL requested SGA funding for 18 ETC Lonestar moving lights. Similar lights had been rented + from external providers for over a year to support a variety of events with limited set-up time. + In 2024, LNL requested SGA funding for a new (and more durable) inflatable screen to support outdoor + movies. The previous screen was not durable, had holes in it from regular usage, and did not have the + option to replace worn parts. LNL did not charge student groups to use the screen, and thus requested + SGA fund the replacement. +

  • Expected equipment lifespan: 10 years for inflatable screen frame, 2-3 years for screen surface + (replaceable separately from frame).

How does LNL compare with other event production service providers? +

+ In most cases, LNL can supply more equipment and personnel for events than an external service provider. We + also have extensive experience with the facilities, resources, and offices involved in supporting events on + campus. We’re happy to connect you with resources to make your event a success. However, external providers + tend to be more flexible in terms of set-up times and may have more availability during standard working + hours. SGA supports LNL Film & Digital Projection

+

+ Since 1989, LNL has provided film projection services in Fuller Perrault Hall (and before then, we provided + projection services in Alden Hall and Salisbury 115). Nowadays, we provide digital, 16mm, 35mm, and 70mm + film projection services for weekend movies, special events, and film screenings. +

+

+ Financially speaking, projection services in the Fuller Upper Booth operate separately from the rest of the + club. LNL has received funding directly from the student life fee to maintain our projectors and supporting + equipment. Projection funding is separated into a different WPI Workday fund (worktag) and is not used to + support LNL event services. +

Resources for SGA-funded Student Organizations

+ If your event is funded by an SGA Funding Request (FR) or budget, we suggest submitting a funding request to + SGA at least 3-4 weeks before your event. SGA is expecting LNL services to be more expensive than they have + been in years past. +

+ For organizations with SGA budget line items for LNL services, an FR will be needed for each event with an + increased price. To make SGA Funding Requests (FRs) for budgeted events as easy as possible, we created a + template form response, breakdown spreadsheet, and presentation with details prefilled based on SGA’s + templates. +

History of Lens and Lights

During the winter of 1961-62, seven WPI students got together and formed an organization they called Lens and Lights. The first president, Jim Day, named the club after his Wethersfield CT A/V club. The purpose of the club was to aid groups using Alden Memorial Auditorium to more fully and effectively use the technical facilities of the auditorium.

+

In the beginning, the club also provided audio and lighting services. The safety of our crews, the groups that we served, and the audiences were always a top priority, a tradition that continues to this day. Working with the Buildings and Grounds department, college administration, and interested professors, the club was granted access to the Alden Projection Booth and worked to repair the old 35mm Simplex Projectors in it. These projectors were left over from showing Navy recruitment films during WWII. Since 35mm was cheaper than 16mm back then, club members taught themselves + and each other how to run the projectors and began showing movies on them.

+

We also inspected and repaired copies of the now infamous WPI recruitment film Bridge to the Future between its uses in the field. Eventually, the dated 20 minute reels of 16mm film were made up of more splice than film, and were retired.

+

By 1964, the club had accumulated 25 or so members. They appropriated a space in the + basement of Sanford Riley Hall, a building which continues to serve as a student residence + today. Later, we moved our equipment to another storage area on the other side of the same + hall, which served as our primary office for many years until it was transformed into a + digital music lab in 2009.

Why we charge for events

+

LNL is not funded through the WPI Undergraduate Student Life fee like other student organizations. LNL charges for our services so that we are able to repair, maintain, and replace the equipment we use to provide services to campus events. Financially, LNL operates differently than most student organizations at WPI. We do not receive an annual budget from SGA or from WPI for maintaining our event equipment. LNL is entirely a volunteer organization; we do not charge for labor or our members' time.

Data Retention and Access

By default, any data collected through the LNL website for business purposes is retained + indefinitely. This includes any personal information you may have provided LNL when booking an + event or updating your profile. When + determining how long to retain your data we carefully consider whether or not there is good + reason for doing so, and if there is, we will only retain it for the shortest possible period + to serve that purpose unless a longer period is required by law.

Projection

Lens and Lights started off in the winter of 1961-62 after a few WPI students took over two 35mm film + projectors that were left by the Navy ROTC program. Decades later, Lens and Lights still shows + movies every week in Upper Perreault Hall, bringing theater quality movie presentations in 16mm, + 35mm, 70mm, and 2K digital with 5.1 surround sound. LNL shows a wide variety of films ranging from classic + 80s Sci-Fi to movies fresh out of theaters - sometimes even before Blu-Ray release! Together with + student organizations (SocComm Films) and in partnership with individuals and professors (HUA Film + series, China Hub Series) we present what the community wants to see on the big screen. In summary, + LNL is a group of students who love the art of projection - both in classical (film) and modern + (2K digital) formats.

Currently, we are one of the few remaining theaters that can present in both 35mm and 70mm film and + we keep our projectionists fully trained on its proper handling and use. When we do occasionally + present classic movies on 35mm or modern 70mm, we can do something no other theater in Worcester can + do. By request, our film distributor, as well as our contacts at the Library of Congress and the + Criterion Collection, can provide us with access to thousands of movies on film.

Lens and Lights Rental Policy

While renting equipment from Lens and Lights (LNL), the following policy is in place to insure the safety, proper care and usage of the equipment. + LNL will permit you to use the rented equipment only for the period specified in the rental agreement and assumes that the equipment will be used accordingly and within its specified limits. + LNL is not responsible for damage due to misuse or neglect during this period. It is expected that the rental will be returned in the same condition as it was signed out to avoid damage + and inventory fees. LNL will not involve itself with safety and/or security issues during the period of rental. If a situation is to arise where a consultation from LNL is required, LNL can + be contacted via email: lnl@wpi.edu or phone: 508.831.5595 and will respond within twenty-four (24) hours of contact.

+ In the event any of the rented equipment fails or is damaged and is in need of replacement or repair, the LNL Technical Director can be contacted at lnl-td@wpi.edu, + and proper action will be taken. We’ve provided sound services to everyone from student bands to Grammy-award winning artists. Lens and Lights has been on the WPI campus since 1962, so you can rest + assured we know the ins and outs of every event space on campus – experience we leverage to produce the best show possible for you. With our inventory and experience + we can make any event sound great whether it’s in Harrington, on the Quad, or even in a classroom.

We boast a wide selection of professional sound equipment from industry-renowned brands. Speakers from EAW and Meyer, mixing consoles from Yamaha, DiGiCo and + Midas, and amps and processing from dbx and LabGruppen encompass just some of the hardware we own. For larger events, we can rent more speakers, consoles, and just + about anything required for you to sound your best.

With a significant equipment inventory and team, we can support multiple ongoing events, even during the most demanding times of year – Alumni Weekend, Homecoming, + New Student Orientation, and the like. How do we spend funds?

+ LNL approaches purchasing new equipment holistically. To reduce the need for early replacement, we keep + a close eye on our inventory and repair as needed. We begin to line up replacement options as equipment + approaches end-of-life, typically at least 2 years before it is needed. We often opt to purchase lightly + used equipment from reputable nearby companies to reduce purchase costs. We also pay close attention to + the ever-changing needs of campus events and attempt to purchase equipment that meets current and + anticipated needs. +

+ The world of event production equipment can move very fast and can be extremely expensive. LNL aims to + purchase equipment that provides high quality experiences, is inexpensive to repair, and operates + reliably for many years. We try to avoid “flashy” products or brand-new models since these often are + difficult and expensive to maintain in the long-term. We often use equipment for 20+ years, so we + consider each large purchase a significant investment in our ability to provide services long into the + future. +

Why are our services so expensive?

+

+ LNL's prices are significantly lower than alternatives. On average, LNL services are priced at less + than 25% of external providers’ services. +

+ In brief, event production equipment is expensive to purchase and maintain. At the same time, we work hard + to keep our prices as low as possible. We’ve created excellent relationships with vendors who offer us low + prices for replacement parts, repair services, and purchasing new equipment. Our members donate their time, + collectively thousands of hours per semester, to support events, learn new skills, and repair our equipment. +

+ Our prices were designed to provide funding to maintain the services we currently provide. To keep our + prices low, LNL does not charge enough to completely fund large equipment upgrades that significantly change + our capabilities. When we are looking to expand our capabilities, we request additional funding from SGA + and/or university administration. Read more here. +

+ Because of these supplier relationships and since we don’t need to pay for labor, equipment transportation, + or a storage warehouse, we are able to price our services significantly lower than any other event + production provider. +

Why doesn’t funding come from the Undergraduate Student Life Fee or SGA?

+ LNL provides services for a variety of organizations. In a typical year, approximately three-quarters of our + event bookings are for student organizations. The remaining quarter of events are hosted by university + departments, offices, and initiatives, as well as occasionally off-campus groups connected with WPI. +

+

+ If LNL were to be funded completely by the undergraduate student life fee, university offices, and academic + departments would essentially be getting our services for free. Charging for our services allows us to + equitably fund our operations from both university operating funds and student organization funds. +

Why does LNL ask SGA for additional funding (i.e. submit SGA Funding + Requests)?

+

Historically, LNL has contributed by partially funding the request and + asked SGA to assist with the remainder. +

What discounts does LNL provide and why?

Student Organization Event Discount:

Any events funded by a WPI-recognized student organization receive this discount. We + greatly appreciate the support of SGA to fund some parts of LNL equipment purchases, so we provide a + discount for all student organizations.

Combo Event Discount:

We enjoy providing both sound and lighting services at events, so we apply this + discount to any events with BOTH sound and lighting services.

What fees does LNL charge and why?

Outdoor Event Fee:
+
+ Events hosted in outdoor locations receive this fee. We charge this fee because outdoor events often + expose our equipment to heat, weather, dirt, and rain. This puts more wear and tear on our equipment and + the fee covers the additional maintenance costs. +
+
Off-Campus Event Fee:
+
+ Events hosted outside of 100 Institute Road receive this fee. We charge this fee because to support + these events, our equipment needs to be transported, often via truck. This puts our equipment at + increased risk of damage and the fee covers the additional maintenance costs. +
+
Rental Fee:
+
+ Whenever LNL rents equipment from an external vendor to support an event, LNL charges a small fee to + cover the costs of maintaining the supporting equipment and cabling used with rental equipment. For + example, we have previously rented lighting and video equipment which needs lots of additional power + distribution, and LNL has invested in additional power distribution equipment to be used with rental + equipment. +

Late-booked Event Fee:
+
+ We ask that organizations book an event more than 2 weeks in advance to avoid late fees. To be + transparent, it can be difficult for LNL to plan for events and coordinate crew with short notice, and + we charge a late fee to encourage organizations to reach out early and avoid additional stress on our + crew and equipment. +

+ Occasionally, LNL may charge additional fees for unusual events or requests. Please email LNL at lnl@wpi.edu with + any questions. +

What about Film and Digital Projection in Fuller Upper?

+

+ Since 1989, LNL has provided film projection services in Fuller Perrault Hall (and before then, we provided + projection services in Alden Hall and Salisbury 115). Nowadays, we provide digital, 16mm, 35mm, and 70mm + film projection services for weekend movies, special events, and film screenings. +

+

+ Financially, projection services in the Fuller Upper Booth operate separately from the rest of the club. LNL + has received funding directly from the student life fee to maintain our projectors and supporting equipment. + Projection funding is separated into a different WPI Workday fund (worktag) and is not used to support LNL + event services. +

+

+ LNL offers digital and film projection services in Fuller Upper Perrault Hall, provided that the required + public showing license (movie rights) is purchased. LNL can help coordinate purchasing rights or connect + organizations with companies providing rights. Anytime LNL helps an organization obtain rights to show a + movie, LNL passes along the expense and does not profit from the coordination of rights. +
