20.10.29 - Second Team Call

Present: Daniel Schweighöfer, Ramón Huidobro, Tatyana Sandanova, Pilar Huidobro, Kostas Rousis

Progress and findings since last meeting

  • Event to take place on a Friday and Saturday of August 2018.
  • Tanya and Pilar have created a list of potential venues that can support an attendance of at least 600 people.
  • An average venue cost may be 10,000€ (with large deviations).

Various notes

  • 600 is a good attendance size. We should not go for lower but not necessarily try to stretch this while compromising the event's quality and the attendees' comfort.
  • Single-track conference it is.
  • The Natural History museum would be an amazing venue.
  • Other candidates that stood out during the meeting: WU Mensa, and Aula der Wissenschaften.
  • Have a pre-party event to encourage people to come the Thursday before the event so it can also ease the registration burden the next morning.
  • Try to combine the pre-party with the vienna.rb meetup.

To Do:

  1. Draft letter in English with venue requirements and "first-contact" to venues - Ramón to kickstart this, all of us to edit, Daniel to draft the German version of it.
  2. Fundraising booklet for potential venues and sponsors - Pilar.
  3. Send the German letter and/or call venues ASAP to get first quotes.
  4. Investigate whether we can apply for a grant - Ramón.
  5. Find contacts at Vienna's universities for sponsorship, support, or possible collaboration - Pilar, Tanya, and Ramón.
  6. Investigate "Verein" and legal issues - Ramón.
  7. Find attendance figures from previous EuRuKos - Ramón.

  • Next general meeting 3.11.17 - 6:30 PM - Use GitHub for the agenda.
